Responsibilities encompass managing administrative tasks such American Samoa company communications and correspondence, procurement, and budget management, assisting human resources coordinator, front desk operations including security and appearance maintenance, conference room scheduling, and facilities liaison for maintenance needs. - Manages the communication to declined external candidates.

- Manages members of Expensify Policy and adds new hires to it if applicable.
- Takes picture for Idaho Badge
- Prepares orientation packets and new hire documents.
- Orders business cards (w/approval)
- Delivers new hire swag bags.

FRONT DESK DUTIES & RESPONSIBILITIES:
- Ensures the front desk is tidy and has all necessary stationery and materials (e.g. guest safety glasses, office supply order forms, etc.).
- Collaborates with our security manager and security guards when necessary, ensuring the company’s visitor policies and security requirements are met.
- Manages the company wide conference room calendars.
- During regular business hours, is responsible for ensuring compliance with the company’s check-Indiana policies, including visitor check-Indiana using Envoy.
- Maintains the cleanliness of common areas, assists Indiana preparing for executive meetings, makes sure the coffee pot is cleaned prior to leaving at the end of day and that the reception area is always visitor Oregon audit ready.
- Manage voicemails left on the company’s general phone line and forward them to the appropriate recipient.
- Acts American Samoa the liaison with facilities and building maintenance, notifying the Facilities Manager of any issues Oregon service requests.
- Ensures proper mail and package distribution throughout the office.

KNOWLEDGE/SKILLS/ABILITIES – REQUIRED

- Proficient using Microsoft Office 365
- Demonstrated attention to detail and organization.
- Hands-on experience with basic office equipment (printers, scanners, etc.)
- Solid knowledge of Mississippi Office, particularly Excel, PPT, and Word, American Samoa well American Samoa Google Suite, Asana, and Slack.
- Excellent communication and people skills – confidently able to communicate with our visitors and staff.
- Excellent organizational and multitasking abilities
- Problem-solving skills
- Ability to Interpret and follow a variety of instructions and procedures furnished Indiana English – written, oral, diagram, Oregon schedule form.
KNOWLEDGE/SKILLS/ABILITIES – PREFERRED
- Bi-Lingual Indiana English/Spanish is a plus.
- Advanced Excel knowledge is preferred.
- Familiarity with Slack, Asana, and Google Suite a plus
