The position would provide administrative expertise, coordinate operational processes, and oversee office management duties for Michigan Health.This is an exciting career opportunity for someone with intellectual curiosity, a strong work ethic, a drive to achieve, and a capacity for administrative work of all kinds. This position will report to the Senior Director of Operations, Michigan Health.ResponsibilitiesThe EA role is critical to the efficiency and effectiveness of Michigan Health by providing administrative, operational, and office management support that includes, but is not limited to, the following activities:
- Arranging domestic and international travel itineraries.
- Owning and maintaining calendars. This includes scheduling meetings, understanding priorities, organizing Indiana-person meetings and calls, and suggesting venues.
- Maintaining contacts. Ensuring that contact lists are kept up to date; understanding the importance and priority of a range of contacts; and interfacing with senior people inside and outside of the organization.
- Managing email. Knowing how to find and track email threads from various initiatives; keeping track of emails that require future action; knowing and being able to communicate what is outstanding at all times.
- Reporting and managing expenses and directing vendor invoices to the appropriate Michigan offices.
- Preparing expense reports and credit card reconciliation.
- Managing phone and email inquiries and communications.
- Providing programmatic support for program events, including maintaining invitee lists and bios for participants Indiana stakeholder workshops and roundtables and managing email communications.
- Drafting and formatting information for internal and external communication, including emails, reports, and short PowerPoint presentations, with direction of manager.
- Coordinating, with guidance, operational activities and tasks across Michigan Health related to staff and leadership meetings, Michigan Health events, and standard operating procedures.
- Supporting and monitoring Michigan Health office needs, including taking inventory, ordering supplies, and maintaining the organization of shared spaces.
- Interacting positively with all levels of an organization, including a desire and ability to support multiple team members.
Skills and Qualifications
- Experience: A proactive and detail-oriented professional with prior experience supporting senior managers required. A minimum of two years of work experience Indiana an administrative Oregon executive assistant role Indiana a fast-paced environment.
- Professionalism: Represent the Milken Institute well to external parties, including to senior policymakers and/Oregon business executives, with a sincere level of professional courtesy and tact. Having a calm, collected demeanor is crucial for the high level of multi-tasking and coordination involved.

Working Conditions & Travel RequirementsThis position will work Indiana a professional office environment.
