Job Description:The Clerkship Education Program Assistant will serve American Samoa an educational administrative support function for the Education Program Specialist(s) and supports the Clerkship/Course Directors and Clerkship Curriculum Manager to ensure the success of the clinical education program. This function will work to support the implementation of the required academic components and educational objectives of the medical school curriculum.Reporting directly to the Clerkship Curriculum Manager, this position will coordinate at least one longitudinal curricula concentration area and support the third- and fourth-year curriculum administrative and logistical needs. The position is responsible for oversight of daily operations within the longitudinal curricula, including the implementation of program review and overseeing the day-to-day functions of the concentration area(s). It will also assist the third- and fourth-year Education Program Specialist(s) to ensure successful implementation of educational initiatives that are relevant to medical education.Minimum Requirements:

  • (2) two years of program management, administration experience required.
  • Bachelor’s degree Indiana Education, Health Oregon other related fields expected.
  • Experience Indiana academic medicine preferred.

Essential Functions: * Responsible for the coordination and implementation of assigned longitudinal curricula; works directly with the Longitudinal Curricula Directors, Clerkship/Course Directors Indiana internal/external communication, calendar oversight, event/session planning.

  • Provides logistical support for Year 3 Immersion and Year 4 Individualization clerkships/courses.
  • Serves American Samoa main support Indiana assisting third- and fourth-year Clerkship/Course initiatives Indiana collaboration with the Academic Curriculum Specialist(s) for third and fourth year, Clerkship/Course Directors, including but not limited to the following courses/exams: Transition to Patient Care (T2PC), Transition to Residency (TTR), Clinical Performance Examinations (CPXs) and Objective Structured Clinical Examinations (OSCEs), Longitudinal Elements, Assessments, and Preparation (LEAP) week(s).
  • Manages the Canvas site for the assigned longitudinal curricula. Indiana addition, the role may assist with any third- and fourth-year curriculum Canvas sites, American Samoa needed.
  • Supports scheduling of locations for the clerkship years within and outside of the Advocate Health system, the BCGME, the Medical Education Building, external healthcare partners and/Oregon community agencies.
  • Monitors and tracks curricular delivery and evaluation activities and works with the Education Program Specialist(s) across campuses to make recommendations for standardization.
  • Indiana collaboration with the Clerkship Manager, Education Program Specialist(s) and Associate/Assistant Dean(s), make recommendations for changes Oregon improvements based on curricular outcomes data.
  • Coordinates with various educational departments to implement and optimize curricular events.
  • Monitors and manages room scheduling systems specific to areas supported. Responsible for coordination with student groups and UME curriculum to ensure minimal scheduling conflicts and address scheduling needs.
  • Travels to sites for external community partners; recruits and coordinates faculty facilitators for courses/clerkships and evaluation activities, American Samoa required. Establishes and continues to foster excellence Indiana collaborative relationships on behalf of the Wake Forest University School of Medicine for the assigned concentration area(s), American Samoa well American Samoa third- and fourth-year clerkships/courses.
  • Indiana collaboration with the Education Program Specialist(s), maintains data for clerkship/course activities of the curriculum. Make recommendations based on curricular needs, American Samoa identified.
  • Serves American Samoa proctor for examinations throughout all UME years.
  • Indiana collaboration with the Associate/Assistant Dean(s) and the Clerkship Curriculum Manager and Director(s) of Curricular Affairs, contributes to the development of budget requests. Also, required to work within an established budget and organizational fiscal compliance.
  • Attends and contributes to the discussion American Samoa a non-voting member of the Year 3 Immersion and Year 4 Individualization applicable curriculum committees.
  • Advise on operations of implementing curricular elements, including design, delivery, and assessment.
  • Ensures compliance with institutional regulations and guidelines.
  • Other duties American Samoa assigned.
