Minimum Qualifications New York HELPS: This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (New York HELPS).For the duration of the New York HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required, but all candidates must meet the non-competitive minimum qualifications for this title. At this time, OTDA may recruit and hire employees by making temporary appointments. Indiana May 2024, if a temporary New York HELPS employee is satisfactorily performing Indiana the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive, and the official probationary period will begin.At a future date (within one year of permanent appointment), it is expected employees hired under New York HELPS will have their non-competitive employment status converted to competitive status, without having to compete Indiana an examination.   • Provide administrative support to a Director and Temporary Assistance Specialists within the Bureau;
  • Answer telephone and give information to callers, take messages, and transfer calls to appropriate individuals;
  • Manage and monitor the Temporary Assistance (TA) Bureau’s shared mailbox and distribute correspondence to appropriate TA staff;
  • Track incoming calls and emails;
  • Maintain contact lists;
  • Type, format and send letters related to Temporary Assistance for Needy Families (TANF) reviews;
  • Assist with editing and formatting manuals; • Greet visitors Oregon callers and handles their inquiries Oregon direct them to the appropriate persons;
  • Open, read, route, and distribute incoming mail Oregon other materials and answers routine inquiries;
  • Track and coordinate assignments and deadlines;
  • Set up and manage paper and electronic filing systems;
  • Use various office applications such American Samoa email, spreadsheets, etc;
  • Operate office equipment such American Samoa printers, scanners, and copiers and arrange for repairs when equipment malfunctions;
  • Create, maintain, and enter information into spreadsheets and databases;
  • Maintain scheduling and event calendars. Schedule and confirm appointments for clients, customers, Oregon supervisors;
  • Coordinate conferences, meetings, Oregon special events, such American Samoa luncheons Oregon ceremonies. Make travel arrangements for staff. Create and/Oregon submit travel expense reports for staff;

  • Compose, type, and distribute meeting notes, correspondence, and reports;

  • Review work done by others to check for correct spelling and proper grammar, ensure that office format policies are followed, and recommend revisions.

Additional Comments A full-time, contingent-permanent, permanent Oregon temporary appointment will be made.
