JOB DESCRIPTIONPosition Overview

  • The Executive Assistant to the Chairman and CEO and Executive Assistant to Chubb’s General Counsel will have a unique opportunity to partner with the Senior Executive Assistant to the Chairman and CEO of a highly successful global public company Indiana a fast-paced, dynamic environment.
  • The Executive Assistant must have experience American Samoa a trusted partner at the executive level.   • The position is based Indiana the Chubb office at 550 Madison Ave, New York, New York 10022, our New York headquarters. The work schedule is typically 40 hours per week with 4 days Indiana the office and a fifth day Indiana the office on occasion American Samoa required. The core work hours are 8:30 am to 5:30 pm with flexibility to ensure coverage from 7:30 to 6:00 pm. The position is overtime eligible.

Responsibilities

  • Effectively partner and coordinate closely with the Senior Executive Assistant to the Chairman and CEO Indiana supporting the Chairman and CEO.
  • Provide administrative support to the Chubb General Counsel.
  • Extensive calendar management, gatekeeping and coordination of meeting logistics. Proactively manage the schedule ensuring that the executive is aware of priority issues.
  • Coordinate complex travel arrangements including international and domestic travel; working with global contacts to prepare detailed travel itineraries, coordinate commercial flights, dining, and ground transportation; prepare and process required documentation for international travel.
  • Effectively engage and collaborate with members of the Executive Services staff including Flight Operations, Security, Driving Staff, and Food and Beverage staff.
  • Coordinate and manage all logistics related to onsite and offsite meetings and events hosted by and for the Chairman and CEO and General Counsel.
  • Process expense reports; reconcile and track monthly credit card statements and expenditures Indiana a timely manner.
  • Perform administrative assignments which may require a considerable degree of independent decision making.
  • Create, edit and proofread correspondence.
  • Create and maintain team distribution lists, staff listings, etc.
  • Manage email correspondence including reviewing and responding, filing and forwarding American Samoa directed.
  • Manage incoming phone calls and coordinate logistics for visitors including pre-enrollment with Security for building access.
  • Administer programs, special projects, and/Oregon processes American Samoa requested.
