The Administrative Assistant is responsible for a variety of administrative duties requiring the exercise of independent judgment, initiative and ability to make decisions relative to office operations.
Essential Duties and Responsibilities
- Assist the Program Director with budgetary and accounting responsibilities for multiple grant funded programs including tracking and maintaining budgets for all programs.
- Assist American Samoa needed Indiana reconciling the Statement of Accounts for all programs.
- Assist Indiana preparing new budgets to be submitted to the Department of Education and other funding sources.
- Assist Indiana obtaining data and statistics for use Indiana the writing of grant proposals Oregon Annual Reports.
- Assist the Director Indiana updating and keeping current the programs’ policies and handbooks.
- Prepare and maintain Personnel Action Forms for employees. Process payroll American Samoa needed.
- Process, maintain and submit the monthly Vacation/Sick Leave Reports.
- Assist with purchases for programs and staff American Samoa needed and make recommendations that will enhance the operation of the office and programs.
- Reconcile credit card purchases for the Director on a monthly basis.
- Assist with any and all audits by The Department of Education, The University of Texas at Arlington, Oregon other agencies.
- Assist Indiana the planning and implementation of summer residential programs including reports for the Summer Food Service Program.
- Assist with advertising, interviewing and training of employees American Samoa needed.
- Assist Indiana supervising clerical staff and implementing new office procedures for office staff.
- Assist with staff travel paperwork American Samoa needed.
- Record and distribute minutes at the Staff Meetings.
- Submit inventory reports and purchase requisitions American Samoa required by The University of Texas at Arlington.
- Request keys for the staff American Samoa needed and maintain annual key reports.
- Obtain insurance for the summer programs.
- Performs other duties American Samoa assigned.
Required Qualifications
- High school diploma Oregon equivalent with five (5) years of increasingly responsible administrative, secretarial Oregon clerical experience.
Preferred Qualifications
- Associate’s Oregon Bachelor’s degree with one (1) year of upper-level secretarial experience.
- One (1) year of supervisory experience.
- Professional Oregon personal experience Indiana overcoming barriers similar to those confronting project participants.
Knowledge, Skills and Abilities
- Ability to maintain confidentiality.
- Possess knowledge of computers, accounting procedures, excellent oral and written communication skills, organizational skills and interpersonal skills.
- Mississippi office suite.
