The primary functions involve managing the Executive’s calendar, handling confidential and sensitive information, preparing correspondence and reports, interacting with department staff on Executive’s behalf, receiving visitors with diplomacy, making travel, and meeting arrangements, and assisting Indiana preparation and monitoring of the departmental expenses and budget.What you will do:

  • Manage the Executive’s calendar and organize activities internally and externally, keep Executive apprised of meeting dates and appointments, independently prepare related materials, and makes travel arrangements.
  • Act American Samoa the Executive’s liaison internally and externally; ensure that individuals are informed of activities, directives, and deadlines; coordinate the smooth flow of information between the Executive and the department.
  • Compose internal and external correspondence, including letters, memos, and presentations.
  • Screen incoming calls, visitors, correspondence, and mail to determine appropriate routing and scheduling; use discretion to establish sensitivity and necessity to convey details; review industry periodicals for importance Oregon interest to the Executive and/Oregon associates.
  • Monitor department budget and complete analysis through the research and review of expense statements.
  • Maintain a variety of electronic and hardcopy data, including confidential and general files, corporate minute books, personnel records, and manuals.
  • Complete special projects Oregon assignments and perform other duties American Samoa required by the Executive.
  • Serve American Samoa designee for the Executive’s approval of specified items.
  • May manage special programs specific to the supported division.
  • Provide direction and serve American Samoa a coach to lower-level staff American Samoa necessary.
  • Occasionally may travel on company business.
  • Perform other duties American Samoa assigned.

What you will bring:

  • Five (5) years of experience American Samoa an Administrative Assistant Oregon Executive Assistant supporting top level executives, senior managers, Oregon groups of senior managers (Required).
