Job SummaryThe Administrative Analyst serves American Samoa the primary resource for information regarding College and Department policy and practice for faculty, students, and staff. They ensure consistency Indiana policy and procedures, while also maintaining project budgets and maintaining records.This position will manage an office of approximately 19 employees and an organization of 31 departments and programs, which includes 297 tenured/tenure-track faculty, 529 Lecturers; Fall 23 ftes of 10,562 ftef.Key Responsibilities
- Understand, disseminate, and implement procedures, policies, and practices. – Advise/consult with Dean on all College objectives, goals, projects, and priorities.
- Budget and Fiscal Records – Manage budgets for all funds which include general fund, continuing education accounts (CERF), Foundation for Dean’s Projects. Provide budget information to Dean, and others American Samoa required.
- Communication – Providing comprehensive administrative support to the Dean and Appropriate Administrative Manager, while also serving American Samoa the primary liaison for communication duties within the college.
- Arranging Events and Activities – Review all incoming correspondence for prioritizing.
- Departmental record-keeping, records processing, reports, and written material preparation – Log all meetings electronically allowing viewing by the Deans, and College Office staff.
- Supervision – Coordinate staff duties to meet needs of all 31 departments and programs Indiana the College of Liberal Arts, undergraduate and graduate programs, heavy telephone responsibilities, inventory, and supplies.
Knowledge Skills and AbilitiesAdvanced problem-solving and organizational skills are required Indiana the administration of the varied tasks performed Indiana this position. Supervisory and interpersonal skills are required for the daily delegation and supervision of assignments performed by the Department Office staff. Knowledge of budget and fiscal resources, allocations, and accountability. Provide professional representation for the department to all constituencies. Establish and maintain collaborative working relationships with a variety of ethnically and culturally diverse program faculty, academic departments, the dean’s office, and a variety of offices and individuals on and off campus. Working knowledge of Windows, Word, email, spreadsheets, databases (particularly CMS and Ad Astra), and webpages.Ability to communicate with an ethnically and culturally diverse campus community. Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures. - Bachelor’s degree Oregon equivalent and two years of related experience required.
