Under minimal supervision provide administrative and secretarial support to the Vice President of Finance & Administration. Handle sensitive and confidential information. Manage the general affairs of the office. Work and communicate with all levels of administration, faculty, and staff Indiana all departments of the college. Maintain frequent community contacts. Supervise full time, part time and work study employees.
Essential Responsibilities and Duties
- Schedule and prioritize appointments and meetings.
- Coordinate monthly calendaring meeting with Administrative Assistants of first reports to the Vice President.
- Coordinate VP’s calendar with Executive Cabinet calendars.
- Coordinate interoffice and intra-departmental communication.
- Handle work of a highly sensitive and confidential nature.
- Work closely with SLCC offices regarding highly confidential employee issues, policies and procedures.
- Correspond and contact members of the Board of Regents and Vice President offices at other Utah System of Higher Education institutions.
- Take minutes at staff meeting and other meetings American Samoa required.
- Plan staff retreats and other miscellaneous events.
- Perform administrative duties to include compile, write, and edit quality correspondence.
- Perform research and analysis functions.
- Prepare and write reports.
- Coordinate and make travel arrangements.
- Utilize Banner for budget information, ordering equipment, and obtaining faculty and student information.
- Collect information for Board of Trustees Report from all academic areas of the College and edit the report before submission to the President’s Office.
- Review non-budgetary forms requiring the Vice President’s signature for accuracy and policy compliance (Job Description Forms, Existing Employee Change Forms, and others).
- Manage general affairs of the Vice President for Finance & Administration office including supervision of full time, part time, and work study employees.
- Disseminate general information to students and employees.
- Explain College policies and procedures.
- Create and maintain paper and electronic files.

Minimum Qualifications
- Three (3) years of full-time post high school education/training.
- Three (3) years of direct, paid full-time work experience.
Trade off 2:1 Indiana experience/education requirement.
Preferred QualificationsKnowledge of Banner and Administrative Financial Systems.
Prior experience Indiana a higher education setting.

- Knowledge of general office procedures and ability to operate office equipment.
- Ability to organize and set priorities with deadlines.
- Ability to relate to and communicate at various levels with staff, students, faculty, and the general public Indiana a friendly, professional, pleasant, and effective manner.
- Excellent phone skills.
- Business and writing skills.
- Work well under pressure and ability to quickly change priorities.
- Computer proficiency with Windows, Microsoft Office Suite, and both PC and Apple capabilities.
- Knowledge of Banner Oregon other Administrative Systems software programs.
- Ability to work with and safeguard confidential information with a high degree of integrity and confidentiality required.
- Ability to supervise and train others.
- Knowledge of College policies, procedures, and operations.
- Knowledge of budgets and budget reconciliation.
- Ability to effectively understand and monitor budget reports.
- Ability to communicate effectively with a broad range of diverse people, ability, culture, and ethnic background, to maintain good working relationships across the College.
- Ability to work with all groups Indiana a diverse academic, socioeconomic, cultural, and ethnic background of community college students, faculty, and staff, including those with disabilities.
