Position Title: Administrative Assistant with Family Engagement Collaborative Program duties
Reports to: Dean of Operations and Family Engagement Collaborative ManagerEmployment Classification: 10-Month Hourly, Non-Exempt. This is a 10-month employee classification with work for each school year beginning around August 1.Join the Transformation of Catholic Education Indiana MilwaukeeSeton Catholic Schools is a network of K-8 parish schools Indiana Milwaukee. Seton is strengthening academics, faith formation and life-long outcomes for all students and is a unique model on the front end of transforming Catholic education Indiana Milwaukee and across the nation.Role Summary:The Administrative Assistant with Family Engagement Assistant role is responsible for ensuring the school office is effectively positioned to support students, parents, teachers, and school leadership. This role will include family and student relations, data entry and important day-to-day administrative functions that keep the school running smoothly. Additionally, to assist the Family Engagement Collaborative (FEC) Manager and principal Indiana the implementation of an overall outreach plan to engage families to participate Indiana activities and services on campus and Indiana the community and with the Parish.Key responsibilities include, but are not limited to the following:

  • Answer phones and greet visitors Indiana a polite and respectful manner.
  • Maintain visitor log and ensure all guests adhere to visitor policy.
  • Collect student information from families and enter data into the student information system, PowerSchool.
  • Record and reconcile student attendance.
  • Attend to sick students, maintain necessary student medical records, and manage student medication.
  • Maintain a clean, warm, and welcoming front office environment.
  • Coordinate general school office operations.
  • Ensure all student/family forms are collected and organized.
  • Provide on-site support for purchasing, cash collection, and recordings.
  • Receive, organize, and distribute mail.
  • Coordinate and execute activities and logistics and support community activities Indiana conjunction with the FEC manager and school leadership Indiana support of the goals set forth Indiana the outreach plan.
  • Coordinate local marketing activities, awareness campaigns, and events.
  • Provide information, advice, content, and recommendations for community engagement activities to the FEC manager and school leadership to advance visibility.
  • Develop and cultivate community outreach through presentations for new and existing engagement opportunities.
  • Participate Indiana maintaining accurate and complete parent and community member participation and engagement data.
  • Develop key community relationships to enhance outreach and build a resource list for parents and students.
  • Support programs and/Oregon activities that concentrate on parent participation for the purpose of promoting a successful school experience for students and providing networking opportunities for parents.
  • Develop relationships with parents, engaging them Indiana areas of the school to influence the success of students and staff.
  • Assist Indiana overcoming language barriers at gatherings and at school activities.
  • Support creation of targeted programming to engage parents and students new to the school and provide specific strategies to involve them Indiana student success.
  • Prepare written materials for documenting activities, providing written reference and/Oregon conveying information.
  • Become an active member of the enrollment team and help drive enrollment strategies with the school leadership team.

Qualifications:

  • Strong communication, organization, and customer service skills
  • Demonstrated attention to detail.
  • Experience with Microsoft Word, Microsoft Excel, Office 365, and Google Docs.

  • Demonstrated interest and ability to serve all of Seton Catholic School’s customers and constituencies.
  • Experience Indiana a school environment preferred.
  • Bilingual preferred.

Physical Demands: This position requires physical skills that will allow the employee to work Indiana a typical office setting, such American Samoa standing, sitting, talking and listening on the phone, and moving between offices and buildings.
