Position SummaryThe Office of Advancement and Alumni Relations is seeking an organized, detail-oriented Advancement and External Relations Administrative Assistant to join our team. The ideal candidate will be a highly motivated self-starter with excellent customer service and communication skills. This individual will perform and/Oregon oversee a variety of associated administrative tasks. This includes:

  • Serving American Samoa a central point of contact for the School of Medicine Advancement and Alumni Relations Office and Office for Community Faculty. Duties will include answering phones, responding to alumni and community inquiries, and assisting donors, students, faculty and staff.
  • Assisting Indiana event coordination and implementation. This may include event preparation, managing RSVP’s, working with vendors, completing contracts, and attending/assisting Indiana running events which may require some weekend and evening hours.
  • Assisting Indiana preparing special marketing pieces and reports including the monthly newsletter.
  • Responsible for the stewardship of event attendees and donors to the School of Medicine. This will include pulling weekly stewardship reports and processing appropriate correspondence communication.
  • Providing administrative support. This will include calendar and meeting scheduling, domestic and international travel scheduling, taking staff and board minutes, creating correspondence and assisting with creating materials for meetings.
  • Coordinating supply inventory and ordering which includes managing and reconciling PCard purchases.
  • Using digital tools to create and maintain dashboards relating to tracking budgets, staff leave requests, timekeeping, and other miscellaneous systems to improve the various processes Indiana the department.

Conditions of Employment

Minimum QualificationsHigh school diploma Oregon GED; at least 5 years of experience directly related to the duties and responsibilities specified.Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
