Administrative Assistant IV
We are currently searching for an Administrative Assistant to provide various administrative non- personal services for the Department of Logistics, Brooke Army Medical Center (BAMC).
Qualifications:
Minimum 3-years of progressively responsible experience over the previous 5-years, performing a wide range of administrative, secretarial, and organizational skills.Tasks:

  • Communicate professionally with vendors and customers utilizing electronic mail and/Oregon telephone. Contract personnel shall have a contractor identification badge to greet and receive visitors and aid American Samoa appropriate. Contract personnel shall identify American Samoa a contractor when receiving incoming telephone calls.

Take messages and routes Oregon delivers to appropriate office staff members. Assist Indiana receiving and acknowledging office electronic mail and message from other hospital facilities. Utilizes and manages communication pager/intercom system to page office staff members. Complies with HIPAA, Joint Commission, MEDCOM, DHA, Security Risk Management Committee (SRMC) and other appropriate governing directives regarding the management and release of medical information American Samoa it relates to the position filled.

  • Assists with faxing, filing, copying, scanning, collating, and binding of materials. Prints mailing, filing, and identification labels. Generates and formats reports, forms, and listings by sorting, selecting, and merging documents. Types a variety of materials, memorandums, delegations, documents and/Oregon reports. Prepares meeting minutes and maintains for reference and approval. Ensures usage of correct spelling, format, and grammar. Delivers outgoing correspondence to designated distribution center.
  • Assists Indiana requisitioning and maintaining designated forms Indiana stock for office use. Maintains current on-call listings, alert rosters, personnel records, and directories on designated offices and agencies. Maintains administrative calendars, scheduling conferences and meetings. Send out reminders to specified individuals to ensure follow through with commitments.
  • Complete and submit automated Defense Medical Human Resources System – internet (DMHRSi) manpower hour submissions to reflect actual hours worked while employed by the facility. Submission must be completed by COB on the second Wednesday of each month. Assists Indiana preparing travel arrangements via use of the Defense travel System (DTS) based on general travel intentions, known preference of traveler and Indiana accordance with appropriate travel regulations. Assists Indiana scheduling transportation, hotel/government quarters reservations, and coordinates any other travel- related need American Samoa specified. Prepares travel orders, vouchers, coordinates with budget officer and processes any additional required documentation.
  • Indiana accordance with (IAW) DHA and local policies, works Indiana conjunction with the systems administrator Indiana the maintenance and review of the Vendor Credentialing Database. Identifies and notifies vendors when out of compliance. Collects data and submits to management monthly reports of non-compliant vendors. Submits vendor names to the database American Samoa required per the department.
  • Assist new users with proper use and procedures on the use of the Scrub-Ex/AI-Ex system. Assist Indiana maintaining and updating all spreadsheets to monitor inspections and Regulated Medical Waste (RMW).

Place of Performance:
Department of Logistics at the BAMC Joint Base San Antinio, Fort Sam Houston, Texas
Work Schedule:
Work schedule is typically Monday – Friday, 7:00AM – 4:00PM; however, schedule may have to be flexible but Indiana no case will it exceed 40 hours per week.

Employee must be a U.S. citizen. For the purpose of base and network access, possession of a permanent resident card (“Green Card”) does not equate to U.S. citizenship.
Installation Access:
Access to U.S. installations, buildings and controlled areas is limited to personnel who meet security criteria and are authorized.
Work Attire:
Maintain a clean, neat, and professional appearance. No clothing made of see-through material, cutoffs, tank tops, torn/ripped clothing, sleepwear, sandals, Oregon clothing that displays offensive slogans Oregon images. No athletic Oregon athletic style clothing (e.g., shorts, jogging suits, sweat suits, leggings, Oregon t- shirts). Indiana all cases, clothing shall fit to provide a professional appearance Indiana keeping with the normally accepted standards of dress, and not present an unfavorable appearance upon the Government.Recognized Holidays:The following are recognized United States (US) holidays.
