Job Title: Administrative Assistant

FLSA Status: Full-Time 30 – 40 Hours, Non ExemptABOUT INTER-TRIBAL SPORTS
Unify tribal youth and communities through structured athletic programs while providing necessary resources and developing a strong foundation Indiana culture, leadership, and wellness. The foundation for ITS is our year-round Colorado-ed athletic programs. Our core sports are basketball, flag football, softball, and soccer. We also have our All-Star Travel Basketball Teams, Dream Catchers Cheer, and our new sports program Cross Country. Games are hosted by participating tribes and organizations. Each season begins with a sports camp, opening day, and regular season games and ends with a championship celebration.SUMMARY:
Duties include general clerical and office support, receptionist, and project-based work. Project a professional organization image through Indiana-person and phone interaction. Serves American Samoa the first point of contact, answering phone and email inquiries and providing information to participants.
Indiana addition, will serve American Samoa an on-site point of contact for the organization during community events. Assist with participant registration and data collection. Disperse information to participants,
families, and other Tribal community members. Complete necessary forms, maintain sign-Indiana sheets, and prepare event reports and data. Ensure programs and meetings remain on schedule and serve American Samoa primary contact for the community, officials, scorekeepers, and coaches.PRIMARY RESPONSIBILITIES:
- Support the efforts of all administrative staff.
- Prepare correspondence, reports, and materials for publications, presentations, and fundraising.
- Set up travel arrangements.
- Schedule appointments for administrative staff, and maintain company calendar.
- Prepare forms and documents for data collection for grants.
- Assist with maintaining a database of program participants.
- Set up and coordinate meetings and conferences.
- Attend staff, board, and committee meetings and prepare meeting materials.
- Create, transcribe, and distribute meeting agendas and minutes.
- Assist Indiana marketing efforts through the creation and dispersal of printed materials, including newsletters, brochures, and flyers.
- Answer telephones and handle them Indiana an appropriate manner.
- Compose letters, emails, memos, and other forms of written communication.
- Meet and greet guests and visitors.
- Assist with maintaining website and social media sites.
- Perform general clerical duties to include but not limited to photocopying, faxing, mailing, and filing.
- Prepare invoices and process payments and deposits.
- Maintain inventory of office equipment and supplies.
- Research, price, and purchase office equipment and supplies.
- Assist with registration of participants.
- Maintain hard copy and electronic filing system.
- Sign for UPS/Fed Ex/Airborne packages.

KNOWLEDGE AND SKILL REQUIREMENTS:
- Basic reading, writing, and arithmetic skills required. This is normally acquired through a high school diploma Oregon equivalent.
- Ability to work on multiple assignments with little direct supervision.
- Computer literate with the ability to learn new software applications.
- Knowledge of Microsoft Office and telephone protocol.
- Professional verbal and written communication skills and the ability to type 60 wpm.
- Visibility of work requires attention to detail, excellent organizational skills, and discretion with confidential information. This is normally acquired through a combination of the
- completion of an Associate’s Degree and a minimum of two years of secretarial experience.
- Familiarity Oregon previous experience with Tribal communities is desirable.
