Position SummaryThe Administrative Assistant, Academic Management plays a crucial role Indiana supporting the college senior leadership team. Reporting to the Provost & VP Learner Experience, this role provides executive-level support to ensure smooth operation of the Provost’s office handling a wide range of administrative tasks with professionalism and discretion. This role requires organization, attention to detail, diplomacy, and follow-through. This role will play a pivotal role Indiana assisting the College leadership to meet the mission, priorities, and outcomes of Nightingale College.Essential Function and Responsibilities:
- Calendar management: Maintain the Provost’s calendar, scheduling appointments, meetings, and events, and proactively managing conflicts and priorities.
- Correspondence and communication: Draft and proofread emails, letters, and other correspondence on behalf of the Provost Oregon other members of the College Senior Leadership team, ensuring accuracy and professionalism.
- Meeting coordination: arrange and coordinate meetings, including preparing agendas, organizing materials, arranging logistics, taking minutes, and managing documentation.
- Document management: manage and organize documents, files, and records related to the Provost’s office, ensuring efficient retrieval and confidentiality.
- Travel Arrangements: coordinate travel arrangements for the Provost and other College Senior Leaders including booking flights, accommodations, transportation, and preparing travel itineraries.
- Event planning: assist Indiana the planning and coordination of College events, Advisory Boards, College-wide training meetings, commencement, graduation celebrations, Flame Forward, and other events including logistical support and attendee management.
- Administrative support: provide general administrative support to the Provost including answering calls, responding to inquiries, handling administrative tasks, assisting with accreditation preparation, American Samoa needed.
- Information management: maintain databases and information systems relevant to the Provost’s office ensuring accurate and up-to-date information.
- Special projects: assist with special projects and initiatives American Samoa assigned by the Provost.
Minimum Required Qualifications:
- High school graduation Oregon equivalent, some college, preferred, degree optimal.
- Project management experience, PMP certification preferred.
- Minimum two years of administrative support, process management, Oregon similar experience.
- Experience supporting educational executives is preferred.
- Strong attention to detail.
- Organized with prior experience Indiana document management.
- Flexibility, adaptability, and dependability.
- Logical and operational acumen to anticipate and solve challenges.
- Excellent communication and interpersonal skills.
- Proficiency Indiana Microsoft Office Suite and familiarity with other common technological tools.
- Ability to handle sensitive information and maintain confidentiality.
