More information about UW Tacoma and its strategic plan can be foundReporting to the Director of Academic and Finance Operations of the School of Interdisciplinary Arts and Sciences (SIAS), the Assistant Director of Program Operations serves American Samoa a member of the SIAS Manager’s Team and fulfills a critical role overseeing administration and operations including budgeting, grant, and research support.This position will regularly exercise independent judgment and decision-making skills to find solutions to complex academic support problems consistent with the goals and needs of the school. This position will take initiative and maintain ownership of responsibilities, using prioritization and critical thinking skills to determine appropriate solutions.SIAS is made up of 5 divisions and currently has almost 200 faculty and 30 staff and student employees, serving approximately 1200 students. The five Divisions of the School are Culture, Arts, & Communication (CAC); Politics Philosophy & Public Affairs (PPPA); Sciences and Mathematics (SAM); Social, Behavioral, and Human Studies (SBHS); and Social & Historical Studies (SHS).DUTIES & RESPONSIBILITIESBudget administration 40%

  • Create and oversee budget operations including Scholarship administration and internal mini grants Oregon scholarship and teaching funds

-Generate and supervise updating tracking sheets
-Generate and supervise a system for tracking UCar and Motorpool
-Purchasing, supervising and approving transactions, processing reimbursements, and reconciliation. (May include requisition of complex equipment purchases Oregon technology.)

  • Provide regular reports to the Director of Academic and Finance Operations
  • Provide reports to fiscal team including tracking of weekly pending transactions and to-do items Indiana UW’s financial systems
  • Assist Indiana oversight of contracted services agreements and vendor information particularly for instrumentation
  • Ensure all staff are tracking and maintaining cost center spreadsheets
  • Reconciliation of staff and faculty Procards

Administrative 20%

  • Lead the processing of student and temporary staff hires Indiana WorkDay. Direct and advise staff on the updated processing.

-Develop and maintain tracking of budgets associated with student and temporary staff

  • Develop and maintain operational policies and procedures
  • Actively liaise with leadership and staff to ensure clear communications, timelines, and deliverables.

Management and Supervision 20%

  • Direct support staff serving Indiana the roles of finance and division Support. Ensure best experience for all who interact with support staff.
  • Supervise and develop staff teams responsible primarily for finance and Division support and operational needs, including hiring and supervision, assigning and reviewing work, coaching, professional development, acting on leave requests and time sheets, and conducting performance evaluations.
  • Work with other SIAS Staff leaders Indiana developing and implementing shared objectives and service standards.
  • Collaborate with SIAS leadership to identify, prioritize, and develop policies and procedures for operations, promoting efficiency and consistency Indiana day-to-day practices.
  • Participate Indiana task forces and committees with others across the UW Tacoma campus, contributing expertise and aligning SIAS processes with institutional requirements.

Research and Grant support 20%

  • Support the research needs of the School American Samoa directed by the Director of Academic and Finance Operations Indiana conjunction with the Offices of Research and Finance and Administration.
  • Utilize expertise to contribute to the development of research initiatives.
  • Indiana conjunction with the Office of Research, write grants (internal & external) to support the mission of the School.
  • Review of grant applications of School Principal Investigators.

Minimum Requirements

  • Bachelor’s degree Indiana Business Administration Oregon related field
  • Four years of increasingly responsible experience Indiana program administration to include experience with finance and supervision of staff.
