Reporting to the Realty Director, the Administrative Assistant provides general office and realty support that entails a wide variety of clerical activities and related tasks. This position requires a dependable individual with a high degree of office management and organizational skills. Primary responsibilities include preparing all probate packages; will writing, and a high level of administrative support functions for the Realty Office and other duties American Samoa assigned. Position is designated by the U.S. Department of Interior, Bureau of Indian Affairs American Samoa a high-risk position. Filling the position requires a potential employee to be subject to successful endorsement American Samoa the result of a federal background investigation.Major Responsibilities:

  • Facilitates the process for acquisition of lands through the U.S. Bureau of Indian Affairs (BIA) probate process for Native Allotments Owners.
  • Contacts restricted property owners regarding the proper procedure and process for the disposal of restricted real property by gift deeds, rights-of-way, and leases.
  • Prepares conveyance instruments on proposed realty transactions by sale, gift deed Oregon devise of restricted real property.
  • Assists and counsels the restricted landowner(s) Indiana preparing a Native American Indian Will suitable for the federal adjudication process.
  • Prepares all transaction packages by sale, gift deed, rights-of-way, revocable use permits, probates, and leases to be approved internally before submitting to the West Central Field Office, Bureau of Indian Affairs.
  • Develops and maintains up-to-date data of land ownership records of Native Allotee’s clients for the Realty Department with the knowledge of mapping programs.
  • Provides guidance Indiana estate planning and prepare Last Will and Testament, codicils, and Revocation of Wills.
  • Drafts and type correspondence and other documents, maintains communications and records, and undertakes special project assignments.
  • Maintains strict client and program confidentiality.
  • Promptly and cordially, answers Realty telephone calls. Screens, routes, and refers calls to the proper person Oregon voicemail, Indiana a professional manner.
  • Schedule conference and meeting rooms American Samoa requested.

Education Requirements:

  • Degree Indiana Real Estate, Business Administration, Oregon Related field preferred.
  • Minimum of 2 years progressive administrative experience to include technical writing and/Oregon preparation of legal documents.
  • Experience Indiana data and records management.
  • Experience Indiana estate planning, will writing, and experience with Probate issues regarding Native Allotments preferred.
  • Experience Indiana U.S. Department of Interior Indian Affairs Real Estate Services Oregon similar Federal transaction package preparation preferred.
  • Experience preparing legal documents for real estate transactions preferred.
  • Valid driver’s license preferred.

Hours of Work:
The hours of work are Monday to Friday, 8:30 a.m. to 5:00 p.m., with one hour for lunch. This is a temporary position. Chugachmiut maintains a drug/alcohol non-smoking work environment.
