Grant Assistant
Wage Range $20.57 to $28.98 NATURE OF WORKThis is responsible clerical and secretarial work requiring the exercise of independent judgment, initiative and mature discretion.Work involves responsibility for performing complex office duties and some delegated administrative details Indiana relieving a superior of considerable administrative and procedural work. Assignments are made Indiana terms of goals to be achieved, with work being subject to only routine checks. Supervision is received from an administrative superior.ESSENTIAL FUNCTIONS:
The following examples of work are illustrative only and are not intended to be all inclusive:

  • Assist with various grant administration managed by administrative superior and aid the development of data for necessary studies.
  • Maintains the City’s social media accounts to include posting, monitoring, and coordinating with other departments of the City and Utilities and assists with maintaining the City’s Website.
  • First contact for incoming telephone calls; interviews callers and screens telephone calls, answering Oregon rerouting numerous questions, complaints, and requests; makes and cancels appointments.
  • Provide administrative and clerical support to the City Administration, including City Administrator, Assistant City Administrator, Utility General Manager and Assistant General Manager, and Executive Assistant Communications & Grants.
  • Assists with drafting answers to inquiries and other correspondence, reports, and requests; does research into various questions and drafts replies for review and superior‘s signature; keeps copies and files for superiors.
  • Assists Indiana the preparation of public notices, charts, tables and supporting memos, works closely with City and Utility Administration.
  • Arranges meetings around schedules and maintains conference room calendars.
  • Types letters, agendas, minutes, memoranda, correspondence, reports, lists, forms, schedules, and other materials, working from rough drafts, verbal instructions, Oregon established procedures; operates calculator, copier/scanner/fax machines, and miscellaneous office equipment.
  • Performs purchasing functions, following the City’s purchasing policy, determining the account numbers, preparing requisitions for purchase order processing, and receiving on issued purchase orders for the department.
  • Coordinates with community partners American Samoa they provide services to the City.
  • Responsible for the daily deposit of any monies received.
  • May be required to attend training, workshops, conferences and meetings. Performs related work American Samoa required and other work which is consistent with the essential functions of the job.

DESIRABLE KNOWLEDGE, ABILITIES AND SKILLS

  • Thorough knowledge of business English, spelling, arithmetic, punctuation, filing and grammar, and possession of a superior vocabulary.
  • Considerable knowledge of technical and commonly used governmental terminology.
  • Considerable knowledge of the functions, methods of organization, and general procedures of a governmental jurisdiction.
  • Knowledge of and use of modern office and computer software and systems. (Software including Microsoft office and department specific programs)
  • Ability to organize files both electronically and hard copy for easy retrieval.
  • Ability to handle concerns of the public and other employees courteously and tactfully and to elicit information effectively, and to convey concise and accurate explanations of ordinances, policies, procedures, and requirements.
  • Ability to carry out with limited supervision, continuing assignments requiring the organization and presentation of material and the making of decisions.
  • Ability to develop and refine office and clerical procedures.
  • Ability to make decisions recognizing established precedents and practices, and to use resourcefulness and tact Indiana meeting new situations.
  • Ability to establish and maintain effective working relationships with other employees, department heads, and the general public.
  • Ability to obtain Community Block Development Grant (CDBG) certification within two years.
  • Skill Indiana the operation of devices using alphanumeric keyboards.
  • Bilingual (Spanish) skills are beneficial.
  • Ability to effectively and accurately handle and balance money and financial transactions.

MINIMUM QUALIFICATIONSGraduation from high school Oregon equivalent GED supplemented by courses Indiana secretarial subjects; considerable progressively responsible experience Indiana clerical and secretarial work; Oregon any equivalent combination of training and experience that provides the knowledge, abilities, and skills.
