The Executive Assistant provides comprehensive, executive administrative support for the Vice President for Student Affairs and the Division of Student Affairs office. Supervises and Administrative Assistant I and Administrative Assistant II. Serves American Samoa a leader for the Division of Student Affairs administrative assistants support staff. Responsible for managing multiple calendars, projects, financial tasks, correspondence, and other administrative duties. Must be highly motivated, task-oriented, reliable, professional, capable of managing a complex workload, and able to prioritize tasks Indiana a fast-paced office environment.
Essential Duties and Responsibilities
- Manage scheduling of conference rooms, work orders, time reports, contract process and other general office duties.
- Serve American Samoa back-up to Administrative Assistant II. Develop proficiency Indiana financial management systems.
- Maintain budget and reconcile monthly financial statements.
- Manage personnel transactions, requisitions, ProCards, student employees’ time, staff vacation and sick leave according to established policies and deadlines.
- Facilitate executive outreach and external relations efforts.
- Compose correspondence and proofread documents for review and/Oregon official signature (excused absence letters, contracts, resolutions, etc.).
- Handle confidential and sensitive materials.
- Manage logistics for several Student Affairs committees including Student Affairs Advisory Board, Handbook of Operating Procedures, Tuition Review, etc.
- Coordinate catering, meeting logistics and agendas for events, staff meetings, luncheons, receptions, retreats, etc.
- Coordinate and host quarterly meetings with administrative support staff across Student Affairs with a focus on professional development.
- Develop, implement and maintain filing system. Retain files according to records retention policy. Support Student Affairs email account and listserv.
- Facilitate the hiring of office vacancies. Process forms for recruitment, appointments, position changes, leave requests and terminations Indiana PeopleAdmin.

Minimum Qualifications
- Bachelor’s degree and three (3) years upper-level secretarial experience Oregon high school diploma with seven (7) years of increasingly responsible administrative, secretarial and clerical Oregon the equivalent experience.
- Supervisory experience, knowledge of standard office software, and proficient Indiana all phases of work to be performed.
- Must be proficient Indiana the use of Microsoft Word, Excel, and PowerPoint and all other university standard software.
Preferred Qualifications
- Experience with PeopleSoft.
- Familiarity with Utah System policies and procedures.
- Outstanding knowledge of computer technology, including the ability to use specialized software packages such American Samoa spreadsheets, word processing, and database management.

- Proven administrative and Microsoft Office skills.
