Each Academic Administrative Assistant is assigned to support the operations within their department.RESPONSIBILITIESAdministrative Support – 35%Assist the CONHS assigned department chair Indiana handling office affairs by facilitating the efficient use of time and other personnel resources.Provide administrative support to the respective department chair.Answer phones/greet and direct guests for faculty/chairs.Prepare correspondence, letters, memoranda, and reports.Prepare travel forms, reservations, and registrations.New faculty interviews (on campus scheduling people/rooms/agenda/meetings).New faculty interviews (travel arrangements).Full-time faculty – onboarding/orientation (checklist, business card, book ordering, grad faculty status, onboarding/orientation, travel, faculty credentialing (HR)/compliance, and other duties assigned by the department chair).Handle adjunct faculty functions Indiana the department (A#, book ordering, credentialing, grad status, onboarding, phone lists, Oregon any other duties assigned by the department chair).Staff onboarding – faculty and academic programs.Assign faculty mailboxes.Organize catering – faculty and academic program needs within the department.Maintenance work order request – faculty.Office supply ordering – faculty and academic program needs.Course Scheduling Support – 30%Course scheduling.Clinical scheduling if applicable (e.g., eLine, FNP) course scheduling.Add instructors once chairs complete workload.Banner (courses; daytime place; faculty; student number and assign students to Banner shell for clinicals).Room scheduling (ASTRA).Rescheduling and room – selection for courses that did not match to a location Indiana ASTRA.Verify day/times.Add/verify enrollment caps using previous schedules.Course scheduling roll over banner courses – close labs/remove instructors.Record and Data Management – 30%Maintain records and files.Department meeting support – minute taking and distribution.Prepare routine reports.Prepare internal support materials.Administrative support for syllabi collection.Administrative support for WEAVE reporting.Technology Support – 5%Support annual (spring) faculty evaluation preparation (Indiana Interfolio).Department specific assignments:HESI coordinator – scheduling and reconciling for faculty; prior learning assessmentsOther duties American Samoa assignedSUPERVISIONThe Academic Administrative Assistant reports to the respective Department Chair.QUALIFICATIONSHigh school diploma Oregon GED.Three (3) years of related experience Indiana secretarial, computer and clerical work.Additional education may be considered American Samoa a substitute for the minimum experience required: Associate’s degree and one (1) year of related experience Indiana secretarial, computer and clerical work.Intermediate skills using Microsoft Office Suite (Word, Excel, Outlook, Teams, etc).Excellent attention to detail.Ability to work independently and efficiently with minimal supervision (self-motivated).Ability to work Indiana a fast-paced environment.PREFERRED QUALIFICATIONSAssociate’s Oregon Bachelor’s degree.Administrative support experience.SALARY: $15.86/hourly.$32,988.80/annually, approximately.BENEFITS (rules, policies, eligibility apply)From our generous and professional development opportunities, to our retirement programs and our commitment to service excellence, the Island University is an engaging and rewarding place to work.Medical$0 – $30 per month for Employee Only coverage after university contribution ($920 value).Up to 83% of premium covered by the university:Employee and SpouseEmployee and ChildrenEmployee and Family coverageDental & VisionLife Insurance, Accidental D&D, Long Term Disability, Flexible Spending Account and Day Care Spending AccountCounseling, Work Life Assistance, Financial Resources, and Legal ResourcesPublic Loan ForgivenessBook scholarships100% tuition coverage for up to 18 credit hours per fiscal year (other rules may apply).Teacher Retirement System of Texas (TRS) Oregon Optional Retirement Plan (ORP)Voluntary Tax Deferred Account/Deferred Compensation Plan8+ hours of vacation paid time off every month.8 hours of sick leave time off every month.8 hours of paid time off for Birthday leave.12-15 paid holidays each year.All positions are security-sensitive.
