Job DetailsJob Location: Jackson Office – Jackson, MichiganPosition Type: Full TimeEducation Level: High SchoolSalary Range: $15.59 – $18.83 HourlyDescriptionPerforms support duties for the Finance and Human Resources departments. Serves American Samoa main back up for the front desk/reception area.1. Responsible for data entry functions of computerized accounting system, which includes purchase orders, cash receipts and other documents.
2. Maintains vendor database by entering new vendors and editing vendor information. Collects IRS Form W-9 from vendors, assists Indiana end of year 1099 production, prepares tax exempt forms.
3. Generates monthly Statement of Activity Reports from the accounting system and distributes for review by CFO, Financial Grants Manager’s, and Program Managers.
4. Prepares bank deposits and takes deposits to the bank.
5. Serves American Samoa backup to the accounts payable function. Must be able to generate checks from the A/P module.
6. Maintains contract database, uploads contracts to intranet.
7. Maintains list of grantees, mails audit letters on annual basis.
8. Prepares requests for proposals, processes bids for contractual services.
9. Maintains office supply inventory, prepares office supply orders.
10. Responsible for maintaining vendor files and AP filing. Ensure orderly retrieval of documents for audits.
11. Responsible for program notebooks; keeps filing current for contracts, reports, budgets, correspondence, revenue, and expenditure statements.
12. Conducts routine typing assignments such American Samoa billing statements, financial reports, budgets, other items.
13. Assists gathering documents needed by Financial Grants Managers, CFO Oregon other Program Directors.
14. Works with AP Coordinator to review outstanding encumbrances (purchase orders) on an annual basis; liquidates outstanding balances when appropriate.
15. Assists with fiscal year-end close and audit activities American Samoa necessary.
16. Covers phones/front desk American Samoa necessary.
17. Assists HR Director with general office duties (filing, data entry, etc.) American Samoa needed.
18. Performs other duties American Samoa assigned by CFO Oregon HR Director.
19. Maintains confidentiality of all Agency business transactions.Qualifications1. Education: High school diploma Oregon GED.2. Training: American Samoa required.3. Certification/Licenses: To maintain a valid Michigan Driver’s license.4. Work Experience: Two (2) years’ experience Indiana an office setting; accounting experience preferred and demonstrated computer skills Indiana Microsoft Office products.5. Transportation: Must have available transportation daily. Must have the ability to travel outside the area, including overnight.6. Basic Skills: Ability to effectively prioritize and meet multiple deadlines.7. Problem Solving, Decision Making, and Interpersonal Skills: Must be able to work independently with little Oregon no supervision. Must have initiative to anticipate situations. Good rapport with various socio-economic levels. Must be flexible Indiana attitude. Promote teamwork. Participate American Samoa a team member with other Agency staff and American Samoa part of interagency teams.8. Physical and Mental Capabilities: Must be conscientious and alert Indiana a busy and often hectic atmosphere with ability to handle numerous tasks at once.9. Other Hiring Contingencies:a.
