To be the first point of contact and assistance for visitors and callers; to facilitate the flow of information and communication; to produce high quality office work for a variety of users; and to provide key support to departments. The Administrative Assistant 1, Front Office will perform fundamental duties and tasks to support the Front Office at Spokane International Airport.Examples of Duties / Knowledge & Skills

  • Greet visitors and direct them to the correct person/department.
  • Answer/transfer calls and document/distribute messages as appropriate.
  • Assist the public with providing information in-person, over email, and over the phone.
  • Sort, distribute, and process incoming and outgoing mail including FedEx, UPS, and certified mail.
  • Accept payment from tenants and taxi companies.
  • Reconcile monthly corporate credit card statements.
  • Reserve meeting areas in calendar notebook.
  • Maintain Airport directory.
  • Organize and maintain work area and various conference rooms.
  • Track office supplies inventory levels.
  • Provide clerical support to staff; receive hand-written edits or drafts of letters, memos, forms, and other materials for word processing and copy support.
  • Provide support to Airport Administration as needed.
  • Perform Other duties as assigned.

Minimum qualifications & RequirementsEducation/Experience:

  • High school diploma or equivalent required. Associates degree preferred.
  • One year of related office experience.
  • Two years’ strong customer service and public contact experience.
  • A combination of education and experience may be considered in meeting the requirements of this position.
  • Valid state driver’s license, free of serious or frequent traffic violations.

Knowledge/Skills:

  • Deliver excellent internal and external customer service.
  • Show a high level of professional poise and personal bearing to deal with people including a clear speaking voice and skills in operating a multi-line telephone system.
  • Work as a contributing member of the team.
  • Maintain confidentiality and handle sensitive information appropriately.
  • Perform a wide variety of duties and responsibilities with accuracy and speed under the pressure of time-sensitive deadlines and changing priorities.
  • Handle interruptions efficiently and effectively.
  • Prioritize a variety of tasks and use good judgment.
  • Organize information into a coherent and meaningful format.
  • Communicate effectively both verbally and in writing. Read, write, speak and understand English.
  • Use spreadsheets, word processing, and database computer software programs at an intermediate level.
  • Present in a professional manner and with excellent interpersonal skills in order to establish effective working relationships with others.

Physical Requirements

  • Requires the ability to lift, carry, push and pull objects up to 30 pounds.
  • Job functions require sitting for extended periods with intermittent walking and standing; also involves occasional stooping, kneeling, bending, lifting, carrying, and reaching.
  • Extensive wrist and hand movements required for frequent keyboarding and use of office equipment.
  • Ability to perform close work to file, read and use computer required.
  • Ability to continuously exchange information through listening and talking with customers, coworkers, and other individuals required.

Security:

  • Must be able to obtain and maintain an Airport security badge as a condition of employment.

  • Regular contact with Airport staff, vendors, tenants and the general public.

Working Conditions:

  • Work is primarily in an office setting with minimal exposure to weather elements. Requires walking outside to attend to conference rooms and mail.

Equipment Operation Required:

  • Personal computer, phones, calculators, copier, fax, binding machine, postage meter and other office equipment.
