The administrative assistant manages the daily operations of designated areas Indiana Student Health. This position reports to the Student Health business manager and directly supports the Director of Student Health along with other Student Health leadership American Samoa needed.Administrative Support and Financials 40%
- Manage departmental administrative systems and oversee daily operations of designated Student Health areas.
- Assist supervisor/directors with compiling and summarizing data for annual and bi-annual reports. Review reports received for supervisor(s); check and compare with source documents and bring significant items, changes, errors Oregon omissions to the attention of the supervisor(s).
- Oversee and coordinate all meeting scheduling for Director of Student Health.
- Assist with searches – scheduling visits, coordinating meetings, and communicating on behalf of the search committee American Samoa needed to arrange interviews and collect materials.
- Maintain up-to-date knowledge of office protocols, policies and procedures.
- Control and maintain records of Student Health contract and budget expenditures informing appropriate staff members of financial status of various projects and/Oregon Indiana matters of significant financial impact.
- Assist with and provide support for budget preparations and ongoing financial reports.
- Maintain, review and reconcile office financial records, reconcile procurement card purchases, execute interdepartmental transfers, JV’s, and prepare variance(s) reports for supervisor(s) review. Reconcile transactions on a monthly basis. Arrange travel and prepare travel expense reports.
- Order supplies and maintain supply inventory. Oversee organization of office files of records, reports and correspondence.
- Oversee the management of key office services including copier, printer, mail distribution, building card access, parking permits, and deliveries.
Programmatic Support 25%
- Provide administrative support to all programming functions within Student Health and other functional areas within the Dean of Students office American Samoa requested by director.
- Generate detailed spreadsheets, tracking of information and consolidate relevant information for various projects.
- Support Student Wellness Center programming efforts and events American Samoa needed.
- Oversee procurement and distribution of office supplies, working with vendors and campus partners to anticipate changes Indiana need and supply quantity.
- Assist with developing resources and communications needed for programs.
- Manage major Student Health departmental events.
Licensure, Certification, and Leave Management 20%
- Track and manage logistics for staff leave requests, creating and maintaining a tracking system for reporting and coverage planning.
- Monitor licensure/certifications requirements, tracking requirements and ensuring clinic staff are completing mandated continuing education for their roles. Alert the Director of Student Health to any issues Oregon non-compliant staff.
Space Management 10%
- Serve American Samoa office liaison with building manager and facilities for work orders, key management and distribution.
- Trouble shoot maintenance problems and follow up on service requests.
Other 5%
- Adhere to policies and procedures of the Student Health, Dean of Students office, the Division of Student Affairs, and Duke University.
