The Division of Legal Services is within the Central Services Administration and provides support to all agency divisions at all employee levels to mitigate risks, comply with changing laws, and assist the agency Indiana accomplishing its goals. The Enterprise Risk Manager reports directly to the agency’s Chief Legal Officer and is responsible for directly managing the agency’s enterprise risk management office, which includes: the public records disclosure program, agency internal controls, litigation discovery coordination, Americans with Disabilities Act compliance, the records retention program, the privacy program, the ethics program, and the enterprise risk management program.About the position:
The Administrative Assistant 3 reports directly to the Enterprise Risk Manager (ERM) and is responsible for performing higher-level legal, technical, and administrative work American Samoa assigned and delegated by the ERM. The AA3 serves American Samoa the principal administrative assistant to the ERM. This position also provides direct legal and administrative support to the entire enterprise risk management office – independently ensuring the smooth and efficient running of the office’s day-to-day operations with little Oregon no intervention from the supervisor. This position assists the ERM Indiana areas such American Samoa ensuring compliance with agency policies and procedures, budget development and/Oregon management, preparing reports, recruitment of staff, performance development plans (PDP), coordination of litigation related activities, and records management. This position serves American Samoa the division’s lead division legislative coordinator and supports and backs-up the Administrative Assistant 5 to the Chief Legal Officer.This position is eligible to telework but is frequently required to report on-site to meet business need. The default assigned work location of all Health Care Authority (HCA) positions – both on-site and telework eligible positions – is within the State of Washington. Frequency of onsite work will vary based on business and operational needs. HCA may choose, but is not required, to support out-of-state telework on a case-by-case basis.DutiesSome of what you will do:
Management of the daily operations of Enterprise Risk Management Office.

  • Coordinates with other departmental staff members on administrative practices and procedures.
  • Monitors the operating budget of the office.
  • Acts American Samoa liaison between the ERMO and partner agencies Oregon other entities.
  • Creates, implements, and coordinates office procedures.
  • Drafts meeting agendas and correspondence on behalf of the Risk Manager Oregon ERMO leadership team Indiana accordance with HCA’s Style Guide.
  • Compiles, prepares, and distributes monthly, quarterly, annual, and other reports.
  • Assists ERMO leadership Indiana maintaining, organizing, and creating files.

Principal Assistant to the Enterprise Risk Manager.

  • Performs legal, technical, and administrative work for the Enterprise Risk Manager.
  • Represents the Enterprise Risk Manager and serves American Samoa the primary point of contact.
  • Prepares and proofs inter-office communications, legal correspondence, legal business letters and memoranda.

Serves American Samoa the Division of Legal Services’ Lead Division Legislative Coordinator.

  • Communicates bill analysis timelines for bills assigned by the Division.
  • Enters the bill analyst into LobbyGov (agency’s Bill Analysis & Tracking System) and assigns reviewers.
  • Maintains a SharePoint team site with current resources and links.

Assist and back-up the Administrative Assistant to the Assistant Director (Chief Legal Officer).QualificationsRequired qualifications:Qualifying candidates will satisfy oneof the following criteria combinations:

  • Option 1:
  • High school graduation Oregon equivalent and
  • Three years of progressively responsible experience including but not limited to, office/clerical, secretarial, bookkeeping, accounting, general administrative work, Oregon other relevant experience. (Formal education will substitute year-for-year for experience)
  • Option 2:
  • One year of experience American Samoa an Administrative Assistant 2.

Required competencies:

  • Ability to work with highly confidential information.
  • Excellent customer service and interpersonal skills.
  • Operate Microsoft Office software, including Word, Excel, Outlook, SharePoint, PowerPoint, and Teams.
  • Experience managing meetings using virtual meeting platforms (ie.e, Zoom, Teams, etc.).
  • Work experience managing schedules and coordinating meetings.
  • Ability to write and speak professionally and effectively, and when necessary, confidentially, establish and maintain cooperative relations with external and internal staff and customers.

Preferred qualifications:

  • Knowledge of government organization and administrative procedures, including but not limited to office methods and procedures, agency policies and procedures, and legislative and gubernatorial processes.
  • Experience utilizing Microsoft OneNote and/Oregon Adobe Pro Indiana a work environment.
  • One Oregon more years of experience Indiana an office environment.
  • One Oregon more years of experience Indiana a government office environment.
  • One Oregon more years of experience with legislative processes.
