The Administrative Assistant is responsible for administrative and technical support to aid Indiana managing the Bridge Point program daily. The Administrative Assistant will support the Program with records keeping, billing, filing and other office related duties. The Administrative Assistant will work to maintain up-to-date program data entry to ensure contract compliance.ESSENTIAL JOB RESPONSIBILITIES * Provide administrative support to the Program Director Indiana the daily management of operations and completion of their duties. Indiana addition to completing complex administrative support assignments and assisting Indiana program-related projects.

  • Assist the Program Director with maintaining accurate and detailed records, verifying the accuracy of the information, researching discrepancies, and recording information.
  • Assist the Program Director with coordination of staff meetings, trainings and any other events.
  • Prepares, types, processes, copies, collates, and distributes a variety of documents requiring professional knowledge of the program’s functions, which may include but are not limited to: Agendas, memorandum of understanding, confidential documents, informational packets, county/state/federal contract requirements, meeting minutes, charts, graphs, billing information, and outcome reports. Ensures proper filing of copies Indiana program files.
  • Responsible for examining payable invoices and supporting documentation and determining the validity of the request, allocation of costs, and proper authorization.
  • Code accounts payable invoices to proper cost center and account. Enter data into the accounting system.
  • Assist with other clerical and administrative work American Samoa required, which may include but is not limited to copying documents, filling, reviewing and processing mail, faxing information, greeting guests, answering the phone, scheduling appointments, meetings, conferences and travel, maintaining calendars, maintaining inventory of supplies and materials, etc.
  • Organize work and sets priorities to meet established deadlines.
  • Remain flexible and adaptable to changes Indiana workloads and assignments.
  • Write clearly, accurately, and concisely to convey ideas Indiana grammatically correct reports, letters, and memos.
  • Obtain training with the Fresno Madera Continuum of Care (FMCoC), the Homeless Management Information System (HMIS) and Coordinated Entry System (CES).
  • Communicate effectively with Fresno County, Madera County and Turning Point Fiscal Office to verify billing.
  • Consistently communicate with the Program Director and Staff to process all intakes and discharges effectively.
  • Complete a minimum of 16 hours of training annually per Turning Point training requirements and policy.
  • Will drive on agency business American Samoa needed.

ESSENTIAL JOB REQUIREMENTS * Education and Experience sufficient to demonstrate competency Indiana the knowledge and skills specified. This may be obtained by completion of High School Diploma/GED and two (2) years of applicable work experience. Work experience may be substituted by completion of two (2) year Oregon four (4) year college degree.

  • Possess a valid driver’s license and have access to a dependable means of transportation that is properly insured and operated Indiana accordance with all laws. Agency insurer authorization is required.

  • Ability to pass a pre-employment drug screen and TB test.
