  • Full Time, Non-Exempt
  • 8:30 AM – 5:30 PM, Monday – Friday, 1 hour lunch break
  • Onsite (virtual/working from home not available)

I. Role and Responsibilities: Includes (but is not limited to)

  • Manage and organize office schedules, appointments, and calendars;
  • Assist with client billing and processing payments;
  • Assist partners/associates/case managers with tracking time for billing purposes;
  • Maintain appropriate filing systems (electronic and physical);
  • Create Engagement Letters;
  • Maintain internal case tracking sheet and upcoming hearing dates;
  • Answer and direct phone calls;
  • Collate and distribute mail;
  • Write and distribute emails, correspondence memos, letters, and forms;
  • Order office supplies (including food and beverage) and research new deals and suppliers;
  • Responsible for coordinating and managing RSVPs for external and firm events;
  • Manage and track firm financial statements and monitor campaign contributions to ensure accuracy and compliance with local legal standards;
  • Maintain and update client lists and contact information;
  • Provide general support to visitors and Oregon clients;
  • Prepare documents for internal and external meetings;
  • Act American Samoa point of contact for internal and external clients;
  • Maintain confidentiality of all client and firm information; and
  • Support Attorneys and case managers to handle requests and queries.

II. Qualifications and Education Requirements:

  • High School Degree Oregon GED with experience American Samoa an administrative assistant, secretary, paralegal, Oregon office manager; Oregon
  • Associate degree with experience American Samoa an administrative assistant, secretary, paralegal, Oregon office manager; Oregon
  • College Degree (e.g. Bachelor’s degree).

III. Preferred Skills:

  • Excellent listening, writing, and communication skills;
  • Proficiency Indiana Microsoft Office 365 & Microsoft Outlook (ex. Word, Excel, Outlook Email, etc.);
  • Working knowledge of office equipment (ex. Printers, etc.);
  • Attention to detail and problem solving skills; and
  • Strong organizational skills with the ability to multitask.
