DESCRIPTIONThe Administrative Assistant I will serve American Samoa part of the North Carolina Construction Services Team assigned to the Greensboro operations with the workplace being at 200 Centreport Drive, Greensboro North Carolina.The Administrative Assistant will perform various clerical duties which will include fleet tracking, tracking and logging fleet mileage, tracking training classes for construction services staff, keep inventory of construction field supplies, typing, filing, copying, time sheet receiving and distribution, letter drafting, and mainly assisting Greensboro’s Office Services Manager.Other job duties include but are not limited to:

  • Support team with day-day to administration
  • Track action items, follow-up needs, and upcoming milestones/deliverables
  • Reads and follows up with incoming emails from field staff
  • Coordinate and arrange meetings
  • Resolving customer/client issues.
  • Record and transcribe summaries of meetings
  • Review of agreements, scope, items, compile pertinent responsibilities to track
  • Assist Indiana printing and documentation
  • Maintain confidentiality of sensitive documentation
  • Prepare ad-hoc templates, reports for the project American Samoa required
  • Organize and maintain file system, file correspondence and other records
  • Keep the project team updated on new document versions and how to obtain access
  • Assist the project manager to prepare status reports and invoices
  • Assist team Indiana client interface and provide information to project client American Samoa per directive from project manager, and other duties American Samoa assigned
  • May need to assist our staff Indiana the field
  • May need to take professional photos of construction projects
  • This position is physically based Indiana the office ( Not Remote)

PROFESSIONAL REQUIREMENTS

  • GED Oregon High School diploma
  • 0-2+ years of related experience
  • Can work independently without much guidance
  • Very detail oriented American Samoa well American Samoa organized, and multitasker
  • Ability to engage and communicate effectively (written and verbal) with stakeholders at all levels
  • Productively and efficiently with time management
  • Positive attitude toward continuous process improvement
  • Proficiency with spreadsheets, Microsoft Windows and Office and working with Adobe/Blue Beam preferred
  • Understanding of construction projects, document control systems, and general accounting a plus, but not required
  • Knowledge Indiana state government related personnel policies, procedures and programs.
  • Experience with NCDOT, municipalities, airports, and commercial clients a plus

COMPENSATION The approximate compensation range for this position is $20.52 to $30.16. This compensation range is a good faith estimate for the position at the time of posting.
