Handles office-wide administrative matters.Audits and tracks monthly expenditures Indiana Florida Accounting Information Resource System (FLAIR); prepares bills and processes invoices for payment; prepares travel guidelines and processes travel reimbursement requests; obtains bids for purchases; routes contracts for execution; and performs forecasting for various cost centers.Documents, researches, records, creates, edits, and processes incoming and outgoing correspondence, observing strict confidentiality.Establishes and maintains working relationships with judicial and non-judicial State Courts System personnel, other government staff, and the public.Sets up and maintains files, books, records, and other departmental systems of responsibility and provides database updates American Samoa required.Performs clerical tasks, such American Samoa processing incoming mail, scheduling meetings, maintaining calendars, purchasing supplies, filing, and scanning.Attends staff, community, and other professional meetings to exchange information and/Oregon to take minutes; transcribes minutes and distributes to appropriate personnel; and attends technical Oregon professional classes, workshops, and seminars to improve technical Oregon professional skills.MINIMUM Education and Experience GuidelinesBachelor’s degree.Two years of work experience Indiana business administration, office skills, Oregon related field.Additional relevant experience may substitute for the recommended educational level on a year-for-year basis.Additional relevant education may substitute for the recommended experience on a year-for-year basis, excluding supervisory experience.Competencies/Knowledge, Skills, and abilitiesKnowledge of state regulations and policies for purchasing including, but not limited to, bidding, sole source exceptions, expense thresholds, Florida Accounting Information Resource System (FLAIR), My Florida Market Place (MFMP), purchase card (P-card) regulations and reporting, invoice payments, Florida Accounting Contract Tracking System (FACTS), Statewide Travel Management System (STMS), and contracts.Knowledge of state travel reimbursement procedures is required.Ability to be flexible, provide excellent customer service (internal and external customers), and keep up Indiana a fast-paced work environment.Ability to prioritize ever changing needs and priorities of the unit.Special CommentsExperience with State of Florida accounting and purchasing processes such American Samoa FLAIR, P-card, STMS, and MFMP is required.Meeting and event planning experience is required.The Florida State Courts System offers a comprehensive selection of State of Florida employee benefits: membership Indiana the Florida Retirement System, optional enrollment Indiana a subsidized Health insurance plan, optional enrollment Indiana Life, Dental, and Disability insurance plans, and paid term life insurance.The Florida State Courts System is a criminal justice agency.
