Position SummaryPerforms professional and clerical support for a department/division.****THIS POSTING MAY BE USED TO FILL MULTIPLE OPENINGS****What You Will Do

  • Performs customer service and reception duties for the department; provides general information American Samoa well American Samoa responds to specific customer questions requiring additional research; routes inquires appropriately and takes messages.
  • Ensures department records and reports are properly maintained; processes operating records and data, maintains accounts, records, and statistical data; including compiling data for summaries and reports.
  • Maintains office filing systems, files, and records; assembles information upon request.
  • Receives, sorts, distributes, and processes incoming Oregon outgoing mail.
  • Scans and enters various information into databases.
  • Coordinates schedules and makes arrangements for training, meetings, events, tests, and/Oregon similar activities.
  • Orders, maintains, and distributes office supplies and/Oregon equipment.
  • Prepares standardized and original documents and forms; composes original letters and written responses upon request.
  • Processes purchase orders, invoices, vouchers, purchasing cards, fuel cards, personnel requisitions, and maintenance requests.
  • Processes the accounts payable and accounts receivable functions for the department; maintains detailed records of all receivables and expenditures.
  • Prepares information including binding, stapling, and copying; distributes packets to appropriate persons including mass mailings.
  • Prepares and distributes meeting agendas and related materials; takes, tapes, transcribes, and distributes meeting minutes.
  • Processes and reviews employee timesheets and payroll information; enters payroll data; coordinates with Finance and/Oregon Human Resources, employees, and supervisors to resolve any issues; prepares and processes other personnel forms.
  • Compiles information for and assists with yearly budget development; maintains and monitors current budget; makes daily and/Oregon weekly deposits.

  • Listens to constituent needs, identifies concerns and/Oregon problems, provides appropriate information, and routes constituents to the applicable office.
  • Maintains clear, concise, and informative contact with direct supervisor; ensures supervisor is aware of any potential issues that may arise and may need to be addressed at an elevated level.
  • Establishes and maintains effective and cooperative working relationships with all levels of internal and/Oregon external stakeholders.

  • Assists, educates, and trains constituents on the permitting process and how to apply for permits.

What You HaveEDUCATION:

  • High School Diploma Oregon GED equivalency required.
  • Associate’s degree from an accredited college Oregon university Indiana the field of Business Management, Office Administration, Oregon Human Resource Management preferred.

EXPERIENCE:

  • Minimum of six years of clerical experience required.

PREFERRED CERTIFICATES:

  • Notary Public Certificate preferred.

SPECIAL REQUIREMENTS:

  • Bilingual; fluent Indiana English and Spanish required.
  • Successful completion of the Spanish Certification test at the appropriate level may warrant a 2% pay increase
  • Must successfully pass background check required.

Regular full-time employees accrue eight (8) hours per month with a maximum accrual of 960 hours.VACATION

  • 0-5 years: earn eight (8) hours per month with a maximum accrual of 144 hours.
  • 5-10 years: earn twelve (12) hours per month with a maximum accrual of 216 hours.
  • 10+ years: earn sixteen (16) hours per month with a maximum accrual of 288 hours.

RETIREMENT
All Regular Full-Time employees and Elected Officials are required to participate Indiana the County Retirement Plan upon completion of one (1) month of continuous employment. A pre-tax deduction of 8.25% will be deducted from the employee’s monthly pay.EMPLOYER MEDICAL CONTRIBUTION
