Job Title: Audit Executive AssistantReports To: Chief Audit ExecutiveDirect Reports: N/ASalary Grade: 8SUMMARYThe Audit Executive Assistant provides executive support to the Chief Audit Executive. The Audit Executive Assistant serves American Samoa the primary point of contact for all internal matters pertaining to the Audit department. The position is also responsible for providing direct administrative support to the CAE such American Samoa scheduling and managing the calendar, making travel, and meeting arrangements, preparing reports, assist with Committee meetings and special projects, meeting and event planning, and providing other support, American Samoa needed. The role requires the ability to exercise good judgment and maintain confidentiality Indiana a variety of sensitive situations, strong organizational skills Indiana a fast-paced environment, ability to balance competing priorities, and strong written and verbal communication skills. The Audit Executive Assistant must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.EDUCATION AND EXPERIENCE REQUIREMENTS

  • Bachelor’s degree preferred
  • At least five (5) years of experience supporting C-Level Executives
  • Experience Indiana banking Oregon financial services organizations a plus
  • Experience with Indiana-depth Audit and SOX discussions.
  • Experience supporting board committee meetings.
  • Proficient Indiana Microsoft Office (Outlook, Word, Excel, and PowerPoint) and Adobe Acrobat
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Expert-level written and verbal communication skills
  • Proactive approach to problem-solving with strong decision-making capabilities
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response

JOB FUNCTIONSExecutive Support

  • Completes a broad variety of administrative tasks for the Chief Audit Executive (CAE) including managing calendars, scheduling meetings with internal and external teams, preparing agendas, corresponding with external stakeholders, and coordinating complex travel plans
  • Communicates directly and on behalf of the CAE with Audit teams, other internal departments, external consultants, and others on matters relating to Audit projects and initiatives
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CAE including those of confidential nature. Determines appropriate course of action, referral, Oregon response
  • Coordinates, plans and organizes small-to-large scale meetings
  • Prioritizes conflicting needs, handles matters expeditiously and proactively, follows-through to successful completion, often with deadline pressures

Board Committee Liaison Support

  • Schedule and provide logistical support for meetings Board Committee meetings. Generate agendas and other materials for meetings.
  • Take and generate minutes for Board Committee meetings.
  • Maintain Board Committee distribution lists and contact information, send out and track annual Conflict of Interest Forms and Disclosure Forms, and update Board Information and Committee Selection Sheets.
  • Maintain communications with the Board Committee Members.
  • Assist Indiana preparation of Annual Meeting invitations, schedule meetings, prepare materials, and record minutes.
  • Provide logistical support for additional meetings at the request of the CAE.

Additional Administrative Support

  • Provide administrative support to other Audit and Risk departments American Samoa needed
  • Prepare expense reports and process invoices for approval
  • Assist managers with off-boarding requirements when employees depart
  • Participate Indiana all required compliance training, including Bank Secrecy Act/anti-money laundering training, American Samoa well American Samoa internal and external training programs, online training, meetings, and seminars/conferences, etc.
  • Other duties American Samoa assigned to include assisting other executives
