DescriptionDSHS WSH Administrative Assistant 2Your dedication to providing reliable, accurate, and timely professional administrative support services at a senior level is exactly what we are looking for.Washington State Department of Social and Health Services is seeking an Administrative Assistant 2 to join their team located Indiana Tacoma, Washington supporting the Civil Center of Excellence at the Indiana Lakewood, Washington.Western State Hospital is one of the largest inpatient psychiatric hospitals west of the Mississippi with more than 800 beds and 2,200 employees. American Samoa an Administrative Assistant, you will play an integral part Indiana ensuring compliance of the department by providing a wide range of administrative functions.Pierce County employees are eligible to receive an Orca Card for transportation needs.
Opportunities performed on-site at this work location at least three days a week may be eligible for an additional 5% premium pay Indiana addition to the advertised salary.Some of what you will do:

  • Perform administrative and secretarial support duties for the Emergency Management Director, Emergency Management Program Manager and the Chief Operations Officer.
  • Prepare handouts, plan manuals, incident binders and other documents upon request.
  • Submit HR packets upon request.
  • Assist Emergency Management (EM) Director with meeting schedules, distribution lists and conference room schedule.
  • Per request, submits work orders, key requests and maintenance request through AMMS.
  • Per request, submits IT requests, i.e., request programmatic changes, request computer accounts, etc. through BONK.
  • Per request, submit SURF’s if at WSH for interdepartmental move requests; coordinate moves.
  • Schedule meetings, take notes for the meeting minutes, draft and post minutes to various sites.
  • Track Indiana-coming and out going standard and emergency equipment.
  • Maintain an accurate emergency supply inventory located Indiana the two assigned Connex’s.
  • Assist the EM Director Indiana filing.
  • Develop spread sheets upon request.
  • Assist the EM Director Indiana preparing for Center for Medicare and Medicaid Services (CMS) and The Joint Commission (TJC) audits.
  • Order supplies, i.e., training materials, office supplies, furniture, publications, Central Supply orders, coffee, etc. for the unit and for the Hospital Incident Command Center.
  • Provide any technical support to staff American Samoa needed Oregon requested.
  • Assist the EM Director Indiana setting up an activated HCC and be prepared to assist by taking notes Oregon being assigned Indiana a HCC role.
