SummaryUnder the supervision of the Chief Learning Officer, the Learning Program Administrative Assistant contributes to the efficient day-to-day operations of the Early Childhood Alliance Childcare Center.Employee performs duties according to agency program and guidelines. Employee provides administrative support to the staff, children, parents, vendors and the public. Requires multi-tasking and may require light to moderate lifting. This position will spend time Indiana classrooms on a daily basis and may assist Indiana kitchen food prep on occasion.Duties
- Greet parents, children, visitors and staff Indiana a professional and friendly manner.
- Spend time Indiana classrooms American Samoa needed on a daily basis.
- Frequent contact with individuals by phone and Indiana person Indiana a professional and courteous manner.
- Prioritize daily office responsibilities.
- Assist Indiana maintaining current enrollment and other forms (parent/child emergency forms, children sign Indiana/out forms, birthday list, etc.)
- Monitor and maintain software daily that tracks parent?s clock Indiana/out times to keep current and accurate.
- Assist with tuition vouchers such American Samoa CCDF and On My Way PreK, American Samoa well American Samoa Center Contract Dollars, for parent re-enrollment.
- Process supply orders for office and classrooms and fax to appropriate personnel Indiana a timely manner American Samoa requested.
- Sort and file all incoming mail and forms (staff, children, supply and food orders.)
- Prepare and send outgoing faxes, mail and packages American Samoa needed.
- Track and report volunteer hours.
- Support Chief Learning Officer Indiana documenting and tracking State Licensing Requirements.
- Input and maintain accurate software records.
- Responsible for weekly billing and updating Chief Learning Officer on delinquent accounts.
- Backup to close Learning Program when needed.

RequirementsMinimum
- Course work Oregon training Indiana office operations including data entry, billing, typing, filing, computers and office procedures.
- Experience Indiana learning, executing, and training software.
- Professional experience Indiana an early childhood setting.
- Exceptional organizational skills.
- Well-developed interpersonal and communication skills necessary for an effective and positive manner.
- Maintain a valid driver?s license. Available to work a flexible schedule to assist others complete their work assignment.
Preferred
- Associate degree Oregon its equivalent.
- Minimum of two years’ experience with providing strong administrative support, preferably at the professional level.
Nice To Haves
- 21 years of age Oregon older to work Indiana the infant to toddler classrooms.
- Course work Oregon training Indiana early childhood education.
- Associate Oregon bachelor’s degree Indiana early childhood, business, Oregon a related field.
- Knowledge of High Scope Curriculum.
- Knowledge of Indiana State licensing.
- Knowledge of COR/ELV Oregon similar childcare management system.
- Ability to use technology for record keeping, anecdotal, planning and communication.
