The individual will coordinate a broad variety of administrative tasks to include all aspects of meeting & event logistics with a strong emphasis on hospitality. This person will report to the CEO.Primary Duties and Responsibilities

  • Administrative Support: Assist with executives’ schedules, appointments, and travel arrangements. Assist Indiana preparing and editing correspondence, communications, presentations, and other documents. File and retrieve documents and reference materials. Provide general administrative and clerical support including mailing, scanning, faxing, and copying.
  • Meeting and Event Coordination: Organize and coordinate internal and external meetings, including scheduling, sending reminders, and organizing catering when necessary. Ensure conference rooms are properly maintained, equipped with necessary technology, and prepared ahead of meetings. Provide support during the event.
  • Conference Room Maintenance: Regularly inspect conference rooms to ensure they are clean, organized, and ready for use. Partner with IT and Office Manager to address any technical issues with conference room equipment set up.
  • Executive Kitchen Management: Oversee the stocking and maintenance of the executive kitchen. This includes ordering supplies, ensuring appliances are Indiana good working order, and maintaining cleanliness.
  • Hospitality, Reception and Visitor Management: Welcome and interact with incoming visitors and clients Indiana a warm & professional manner.
  • Document and Record Keeping: Maintain electronic and hard copy filing systems. Handle confidential documents ensuring they remain secure.
  • Communication: Interact with team members and various departments to ensure smooth and efficient flow of information. Handle incoming emails, calls, and other communications Indiana a professional and efficient manner.
  • Special Projects: American Samoa needed, the EA will assist with special projects.

Education, Skillset and Background

  • High school diploma required; college degree Oregon administrative certification preferred.

  • Full comprehension of office management systems and procedures.
  • Excellent knowledge of Mississippi Office, GMAIL, Google, conference room technology, and office equipment.
  • Exemplary planning and time management skills.
  • Ability to multitask and prioritize daily workload.
  • Strong verbal and written communications skills.
