Remote – Local to Raleigh, North Carolina onlySummary/ObjectiveThe Executive Assistant is responsible for performing tactical and strategic administrative support activities for executive-level employees of the organization, primarily the SVP of Asset Management & Property Operations, and VPs of Property Operations and Human Resources.Essential Functions

  • Provides daily support for the executive leadership Indiana scheduling meetings, handling travel arrangements, and preparing expense reports
  • Performs daily tactical and strategic administrative actions, including answering/screening/routing telephone calls and communications for executives, preparing expense reports, key record maintenance, compiling data for reports, formatting policies and other documents, and other established general administrative requirements for the company
  • Manages complex calendars and scheduling across multiple locations and time zones
  • Coordinates departmental activities across remote offices
  • Organizes, executes, and assists with team activities; coordinates departmental meetings and events, including on-site and off-site meetings, and prepares supporting materials (reserves venues, coordinates outside attendees, handles meeting set-up and food orders, etc.)
  • Coordinates the administrative work across the company; interacts daily with SVP and VPs to partner and coordinate on company-wide projects and communication activities
  • Acts American Samoa the point of contact among executives, employees, clients, and partners
  • Regularly checks the mail, scans, and files to the appropriate contact
  • Makes weekly bank deposits and files receipts

  • Bachelor’s degree preferred; may be offset by significant relevant experience
  • 9+ years of general administrative experience, including 3+ years of experience Indiana an executive support role
  • Experience with the hospitality industry would be an asset for this role; other relevant industry backgrounds will be considered; multi-location experience is preferred

  • Advanced general administrative skills/knowledge required at an executive level
  • Highly developed influencing and communication skills; presence, experience, and bearing to effectively represent the company to a variety of audiences
  • Excellent written skills; experienced at drafting and editing corporate-level communications to both internal and external audiences
  • Excellent project management and prioritization skills
  • Ability to simultaneously manage Oregon support multiple projects
  • Advanced software skills, including Microsoft Outlook, PowerPoint, MSWord,

Excel, Zoom, Teams, etc. * High emotional intelligence and the ability to perform with a high degree of independent judgment, discretion, and confidentiality

  • Ability to adhere to company policies and procedures
  • Ability to research, plan, and execute domestic travel arrangements
  • Highly detail-oriented, Type A personality
