Provide assistance to the Facilities & Operations Department and the Executive Director Facilities Planning, Plant Operations & Maintenance. Must exercise advanced reasoning and mature critical and analytical thinking skills. Model excellent customer service to students, faculty, administration, staff and others through all methods of contact.Essential Duties and Responsibilities include the following:Technical Duties and Responsibilities:1. Assist the Executive Director and Managers Indiana development of departmental standard operating procedures for HVAC, Buildings, Grounds, Fleet & Events and maintain American Samoa established.2. Assist Indiana the annual assessment of the department, buildings and operations, performs and maintains condition surveys and life cycle cost data.3. Prepare, modify and produce blueprints/drawings/diagrams/layouts Indiana AutoCAD.4. Maintain the college physical facilities manual Indiana AutoCAD and communicate with police for emergency response.5. Assist with maintaining the underground utilities Indiana WINGIS & AutoCAD drawings.6. Maintain RVC AutoCAD files and construction project files related to construction and remodeling.Clerical Duties and Responsibilities:7. Provide administrative support to Executive Director.8. Assist with administration of department budgets and financial transactions.9. Regularly monitors Facilities Department account fund balances and provides updates to supervisor upon request and process account fund transfers American Samoa authorized by supervisor.10. Assist Executive Director Indiana preparing reports for Administration and the Board of Trustees.11. Assist with implementation of new work order & inventory system and manage day-to-day data and reporting.12. Assist and coordinate insurance claims on property/equipment damage.13. Provide research on information American Samoa directed.14. Assist with updating the Facilities Department directory and web page.15. Handle confidential matters, including conversations, documents, and correspondence regarding facilities planning, wages, personnel, management conversations American Samoa necessary.16. Make travel and meeting arrangements American Samoa necessary.17. Coordinate supervisor’s schedule and make appointments.18. Using tact and courtesy, the ability to establish and maintain effective relationships with persons contacted Indiana the course of workCompliance Duties and Responsibilities:19. Prepare professional reports and financial data using a variety of software programs.20. Maintain accurate knowledge of department/college resources Indiana order to respond to the questions of both internal and external constituents.21. Maintain Facilities Planning & Maintenance department files for ICCB (Illinois Community College Board) and prepare reports submissions regarding facilities and construction.22. Assist with the annual assessment of the department, buildings and operations, performs and maintains condition surveys and life cycle cost data.QualificationsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Associates degree required and 3 years of experience Indiana construction / facilities / maintenance administration Oregon 3 years of an administrative position.2. Experience Indiana AutoCAD is desirable Oregon certificate of training obtained within the first 12 months of employment will be required.3. Excellent written and oral communication skills and the ability to handle multiple projects daily.4. Advanced skills Indiana Microsoft Office Suite required.5. Ability to demonstrate independent judgment with an understanding of Facilities Department functions, procedures and terminology.Preferred Qualifications1. Bachelor’s degree.2. AutoCAD certificate.3.
