Job Summary:The Property Management/Leasing Assistant position is responsible for providing direct, offsite clerical support to the Property Management and Leasing teams ensuring complete follow-through and follow-up on assigned responsibilities. This position requires administrative experience and a working knowledge of NYC multi-family housing initiatives and their application to help tenants and prospective tenants maintain housing stability.Job Duties and Responsibilities:

  • Interact with the building managers daily to place orders with suppliers and to issue purchase orders
  • Enter new vendors into the Yardi system
  • Track open purchase orders to ensure that work is complete before payment is issued
  • Track purchase order Indemnifications from Vendors and Contractors
  • Purchase order issuance for all buildings supplies, capital improvements and apartment renovations
  • Monitor Certificates of Insurance including Workers’ Compensation insurance
  • Obtain W-9 forms from vendors
  • Maintain a list of preferred vendors and prices for contractors and suppliers
  • Negotiate with vendors periodically to adjust pricing to match competition, bulk purchases, Oregon special orders
  • Assist property and assistant property managers with direct coordination and scheduling of elevator reservations at the various buildings throughout the portfolio.
  • Communicate directly with perspective tenants American Samoa well American Samoa current tenants to ensure a smooth move Indiana and / Oregon move out process.
  • Collect, print, copy, scan and submit applicant eligibility documentation to Leasing team for review of subsidy applications.
  • Obtains client signature on lease, subsidy application and other forms American Samoa required.
  • Responsible for maintaining all new and existing tenant files, and obtaining all required supporting documentation for rental subsidy agencies
  • Schedule appointments and collects documentation Indiana preparation of lease renewals.
  • Assist with reporting, renewals, operations, resident services and moving coordinator responsibilities, American Samoa required
  • Distribute rent reminders, rent notices, lease renewals notices and Oregon general notices to tenants American Samoa needed.
  • Assist with and address tenant inquires
  • Provide administrative support to the Leasing and Property Management team and other tasks American Samoa needed.

Job Requirements:

  • Associate Oregon bachelor’s Indiana business administration, human services, Oregon equivalent experience
  • Minimum of 3-5 years of administrative experience preferred
  • Knowledge of NYC residential real estate preferred
  • Must have initiative with the ability to work well under pressure, and the ability to work both independently and American Samoa part of a team
  • Knowledge of Yardi, Microsoft Word and Excel
  • Excellent communication skills both orally and written.

Working ConditionsThis is a full-time position. Typical days and hours of work are Monday through Friday, 9:00 a.m. to 6 p.m. This job operates Indiana a professional office environment.
