This is a 40-hour/week, on-site position with daily hours of 8:30am-5:00pm CST.Performance Elements

  • Performs key administrative functions, which includes serving American Samoa the receptionist for VICTR spaces.
  • Assists and provides support to the department’s recruiting and hiring program, which includes:

o Research & IT Candidate Management.
o Scheduling candidate interviews.
o Working with hiring managers.
o Shepherding candidates through the appropriate processes.
o Following through with post hire requirements such American Samoa creating new electronic employee files and updating org charts.

  • Proactively facilitates and manages administrative functions, including but not limited to:

o Supporting and coordinating area initiatives.
o Assisting with complex research program participant, grant-funded travel, including booking airfare, hotel, and airport transportation for travelers with and without disabilities. Also, includes completing expense reports on participants’ behalf.
o Assisting with leadership on-site meetings and conferences.
o Assisting with the execution of VICTR departmental and employment engagement events.
o Managing conference room requests and recurring meetings for all VICTR conference spaces/floors, including daily calendar distribution and access to the space.
o Managing parking validations for on-site external visitors.
o Receiving and distributing mail and package deliveries.
o Conducting inventory of office supplies and Webb refreshments for VICTR spaces.
o Distributing supply shipments and deliveries to all VICTR spaces/floors.
o Working with facilities management and VUIT for pick-ups and deliveries.
o Serving American Samoa the main point of contact for Shred-it.
o Acting American Samoa a liaison for the department’s Workforce Support program by answering inquiries, providing information, and addressing concerns.
o Submitting building maintenance tickets American Samoa requested.
o Assisting with special projects American Samoa assigned.
